hd_grad_dance Dance Portraits - Planning Your Event

3 Months Prior

As the anticipation for the event grows, there are a few details that still need to be secured.

Develop a Promotional Plan
In order to maximize the attendance at your event, you will want to have a promotional strategy. Plan for posters, table tents, flyers and other promotional materials to help get the best participation possible.

Identify Security & Chaperones
Since you will need to have a safe environment and supervision for your event, be sure to secure chaperones and security well in advance. This will eliminate last minute scrambling to find volunteers.

Make Confirmation Calls
Make sure you confirm all aspects of your prom one to two months prior to the event. This includes making confirmation calls to your venue, entertainment, catering and other supplier representatives. Should there be a problem, this will give your committee time to resolve it.

Start Selling Tickets
You will need an accurate head count for your dance, particularly if it includes a sit-down dinner. Start selling tickets four to six weeks prior to the event and set a deadline for sales cutoff.
